UBLearns: Copy Course Content Between Course Spaces

In UBLearns, instructors can copy course content from a previous semester's course space to a current or upcoming course space. This is done with the Import/Export/Copy Components tool within the receiving course space.  So for example, I go into my upcoming course's UBLearns space, and there use the copy components feature to bring in course content used in a previous semester's course space.


Process

In the destination course space, click the Instructor Only link on the blue navbar toward the top right of the page. In the dropdown menu, click Copy Course.

On the Import/Export/Copy Components page, ensure that Copy Components from Another Course radio button is clicked.  Then, click the gray Search for Course button under Course to Copy:

In the Select Course Offering dialog, enter one or more search elements into the Search box, and then click the gray Search button.  These elements can be course number parts, such as ENS, OT, PUB, or numbers, such as 199, 230, or 510.  You can also add Fall, Spring, and the last two digits of the course's year (25 or 26).  Bear in mind that UBlearns will look for exact characters, but you need not have a course's full title and number to successfully search.

Search results will only include courses available to you in UBLearns, so if you cannot find a course, it may be that you have no enrollment (as, for example, an instructor or course builder) within that course space.

Once you see the course space containing your course content listed, click the radio button next to it. In the next steps, this course will supply your course content to your recipient course space.

Back on the Import/Export/Copy Components page, you will now see the course supplying your course content under Course to Copy:

At the bottom of the Import/Export/Copy Components page see two buttons. Copy All Compents (blue) will copy the entire course content set into your current, recipient course space.  Select Components (gray) will allow you to choose just some course content portions or types to copy.

Tip! 
Some instructors copy their entire course content just once, and then add, modify, or remove content as needed, to prepare for the course they teaching or will teach.  Others copy only some course content pieces, preferring to use only part of a previous year's course, while uploading more content themselves. They may do this before a semester begins, or repeatedly copy content from an older course space throughout the semester. If you do the later, be careful not to accidently copy duplicate course content, since UBLearns will preserve the copies in the new course space.

If you choose Copy All Components, UBLearns will proceed with the course content copy, and complete the process.

Copy Selected Components

If you choose Copy Select Components, UBLearns will present subsequent pages where you select what content you wish to copy.

Under many categories, you have the option to Copy all items or Select individual items to copy. If you choose to select individual items, you will be presented with a following page where you select those items. 

In many cases, you can also check the box for Include associated files.  This will ensure that any files stored in a course space, such as .docx or .pdf that are linked within an assignment, discussion, or web page, are copied along with that item into the new course space.  However, you can also choose to copy Course Files to bring some or all of your course files over separately.  This is a safe option, since you then are assured of having all files from a previous semester. However, it can also clutter up the Manage Files area for the course, making it more difficult to determine which files you need.

After you click the blue Continue button, you will be presented with follow-on screens, as necessary, allowing you to choose individual pieces of course content.

After these pages, you are presented with a last page asking you to confirm your copy choices.  Begin the copy process by clicking the blue Finish button at the bottom.

Additional

Avoid duplicating the copy process. UBLearns will create duplicate course content in your recipient course, which can be a nuisance to remove.  In many cases, UBLearns will present you with a warning dialog if you try to copy from the same course twice, but you should check for yourself before proceeding.

On the Import/Export/Copy Components page, you can see what has already been copied into a space using the View History link. This can be handy for avoiding duplication, but can also show you where content in a course space originated in a previous course space.

Copying course content between UBLearns course spaces does not copy student assignment or quiz submissions, discussion posts, or grades entered.  

UBLearns maintains two years' worth of old course content.  For this reason, instructors are strongly urged to export course content, rather than rely only on UBLearns to store old course content.
