Sharing and Collaborating with Microsoft Word

You can share files with colleagues using Microsoft Word and OneDrive, granting them permission to see or edit the file's contents. To do this, you need to be logged into your UB Microsoft 365 account in Word. Also, your file must be uploaded or saved to OneDrive.

Logging Into Microsoft Word Desktop

To ensure you are logged in to your UB Microsoft account, click the account icon in the upper right corner, or under Accounts within the File Menu:

On a Mac, you can sign in upon opening Word, or within the File menu:

Using OneDrive to Store Files

Once you are logged into your UB Microsoft account, ensure that the file is saving to OneDrive. You can do this under File Save as... or by clicking the file name in the upper toolbar.

Sharing a File With Collaborators

In the upper right of your Microsoft Word window, click the Share button. In the dropdown menu, choose Share...

Enter the email addresses (or names) of colleagues. You may also add a short message delivered to them in the email sharing notification.  Click the dropdown to the right of their email address(es), and choose the appropriate level of access. In most cases, Can edit is appropriate, but if you would like the file to be read-only, choose Can view (which is default.)

Click the blue Send button to make the file available to them.

Then, click the blue Send button in the lower right of the Share dialog box.
