Service Description
The School of Nursing provides loaner laptops to faculty, staff, students, and approved affiliates who require temporary computer access for academic, administrative, research, instructional, or other approved School of Nursing business purposes.
Loaner laptops may be requested for:
- Temporary replacement of a university-owned device undergoing repair or replacement
- New employees awaiting assigned equipment
- Travel, conferences, presentations, or special events
- Research or instructional activities requiring temporary computer access
- Other approved School of Nursing business needs
Availability is subject to inventory and operational priorities.

How long can I keep it?
- Loaners are intended for short-term use.
- Requests exceeding 7 days may require approval.
Approvals
Approval Required: Requests longer than 7 days require approval from:
- A faculty sponsor (students)
- A supervisor (faculty or staff)
Approval may not be required for approved School of Nursing event-related activities.
Saving your Files
UBbox and OneDrive are available on all loaner laptops and are the recommended locations for storing files.
To protect your data:
- Store important files in UBbox or OneDrive.
- Avoid storing important files only on the laptop.
- Local files may be removed when the device is returned and prepared for the next borrower.
Service Audience
This service is available to:
- School of Nursing Faculty
- School of Nursing Staff
- School of Nursing Student Employees
- Authorized Affiliates and Guests (with departmental sponsorship)
- School of Nursing Students (with faculty or departmental sponsorship)
Roles and Responsibilities
Borrower Responsibilities:
- Use the device only for approved university activities
- Protect the equipment from loss, theft, damage, and unauthorized access
- Follow University at Buffalo acceptable use and information security requirements
- Return all issued equipment by the agreed-upon return date
- Promptly report lost, stolen, damaged, or malfunctioning equipment
- A full Loaner Laptop Agreement must be acknowledged as part of the request process.
Technology Services Responsibilities:
- Review and approve eligible requests
- Prepare and configure equipment
- Provide technical support during the loan period
- Maintain inventory and loan records
- Inspect equipment upon return
- Manage security updates and maintenance
Equipment and Support
Loaner laptops are managed and supported by School of Nursing Technology Services.
Typical loaner devices include:
- Dell laptop
- Intel processor
- 16 GB RAM
- 512 GB SSD
- Wi-Fi connectivity
Actual specifications may vary based on available inventory.
Standard software includes:
- Microsoft 365
- Adobe Acrobat Reader
- Zoom
- Box Drive
- OneDrive
Additional software must be approved and installed by School of Nursing Technology Services.
